Source bid PDFs: up to 180 days
Bid documents uploaded for a Bid Review may be stored in private file storage for up to 180 days from upload. After that retention period, the source PDF is scheduled for permanent deletion. Files may also be deleted earlier for security, account-deletion, operational, or legal reasons.
What we may retain after the PDF is deleted
We may retain the Bid Review results and ordinary account, transaction, security, and business records needed to operate the service. We may also retain structured, de-identified information derived from bids to improve CheckMyBids and related Guiding Dawn tools.
What the de-identified dataset is designed to contain
Useful fields can include project type, broad market or region, bid total, normalized trade and line-item amounts, allowances, exclusions, payment structure, estimated duration, warranty terms, and scope-completeness patterns.
What we do not intend to place in the benchmark dataset
The long-lived benchmark dataset is designed to exclude customer names, email addresses, phone numbers, signatures, exact street addresses, contractor/company names, contractor license numbers, bank or payment details, raw PDF text, and direct account identifiers.
How derived data is used
De-identified and aggregated data may be used to improve bid-comparison logic, project-specific checklists, cost and allowance ranges, scope prompts, investor rehab tools, anomaly detection, and other Guiding Dawn products. It is not intended to recreate or republish an individual contractor proposal.
Security
Source documents are intended to be stored privately and accessed only by authorized application services needed to provide the review. Access controls, retention automation, and deletion logging are part of the production design.
